Block out unavailable times

Mark a room as unbookable for maintenance, personal use or holidays, and understand how blocks interact with opening hours and connected calendars.

A block is a stretch of time where a room can't be booked, even though it falls inside the room's normal opening hours. Use it for maintenance, a private session, a holiday, or anything else that takes the space out of circulation.

Add a block

From Calendar, find the room and the day you want, then drag across the hours to block — or click Add block and enter the times directly.

Blocks show in the week view and hide the slot from the directory immediately.

Blocks vs opening hours

These solve different problems, and it's worth being clear on which you want:

BlockThe room is normally available, but not on this specific occasion

If you find yourself adding the same block every week, that's a sign the room's opening hours need adjusting instead.

Blocking a whole site

To take an entire location out for a day — a bank holiday, say — adjust the location's opening hours rather than blocking each room individually. Room availability can never exceed its location's hours.

Blocks and connected calendars

If the room is synced to Google or Outlook, you have two equivalent ways to block time:

  • Add a block in WellnessRooms — it's pushed to the connected calendar.
  • Add an event in the connected calendar — it blocks the room in WellnessRooms.

Both work. Pick one and stick to it per room, so there's always an obvious place to look when something seems wrong.

Existing bookings aren't cancelled

Blocking a period that already contains a confirmed booking does not cancel that booking — it only stops new ones. You'll need to cancel or move the existing booking yourself and let the practitioner know.
