Sync your Google Calendar

Connect Google Calendar so WellnessRooms keeps your availability accurate both ways — bookings you approve appear in Google, and events in Google block the matching room automatically.

Two-way calendar sync means you only ever manage one schedule. Once connected, every booking you approve is written to your Google Calendar, and anything you add in Google — a personal appointment, a class, a maintenance slot — marks that room as unavailable in WellnessRooms and on the directory.

Before you start

You'll need a Google account and Owner or Admin access to this workspace. Sync is set per location, so repeat these steps for each site you manage.

Connect your calendar

The whole flow takes about a minute. You'll be redirected to Google to grant access, then straight back to WellnessRooms.

  1. Open calendar settings From the sidebar go to Calendar, then click Sync in the toolbar. You'll land on the Connected calendars panel.

  2. Choose Google Calendar Under Available integrations, click Connect next to Google Calendar.

  3. Grant access on Google Sign in and select the calendar you want to sync. Approve the requested permissions — WellnessRooms only reads and writes events, and never sees your emails or contacts.

  4. Confirm the sync direction Back in WellnessRooms, choose which rooms map to the calendar and leave Two-way sync switched on. Click Finish.

Use a dedicated calendar

Create a separate Google Calendar (e.g. "Room Hire") rather than syncing your main personal one. It keeps availability clean, makes it easy to share with staff, and means a dentist appointment doesn't block a bookable room.

Verify it's working

Give the first sync a moment to complete, then run a quick two-way check:

  • Approve a test booking in WellnessRooms and confirm it appears in Google Calendar within a minute or two.
  • Add a short event in Google for that room, then open the WellnessRooms week view — the slot should show as blocked.
  • Check the directory listing for that room to confirm the busy time is no longer bookable.
Sync isn't instant

Changes usually appear within 1–2 minutes. During busy periods Google can take longer to push updates. Treat one calendar as the source of truth for a given room rather than editing the same slot in both places at once.

Troubleshooting

New bookings aren't appearing in Google

Check the connection status shows Connected in calendar settings. If it says Reauthorise, your Google token has expired — click it to reconnect.

Google events aren't blocking the room

Confirm the event sits on the exact calendar you mapped, and that the room mapping is still assigned. Events on other Google calendars are ignored by design.

Times look an hour off

Make sure the location's time zone matches your Google Calendar time zone. Set it under Settings → Location → Time zone. This is by far the most common cause.
