Approve a booking request

What happens when a directory enquiry arrives, how to approve or decline it, and what the practitioner sees at each stage.

When a practitioner finds your room on the directory and sends an enquiry, it arrives as a booking request. Nothing is confirmed and no time is held until you approve it.

Where requests appear

New requests show up under Bookings, and you'll get an email notification at the address on the location.

Each request carries the practitioner's name, contact details, what they do, and the time they've asked for.

Approve or decline

  1. Open the request Click through from the Bookings list to see the full enquiry and the practitioner's message.

  2. Check the slot is still free The requested time was available when they submitted, but if you've taken another booking since, the calendar will show the clash.

  3. Approve, or decline with a reason Approving confirms the booking and writes it to the room's schedule — and to your connected calendar if you have one. Declining sends a short note back; it's worth suggesting an alternative time if one exists.

Reply quickly

Practitioners looking for space usually enquire with several venues at once. A reply within a few hours converts substantially better than one the next day, even if the answer is no.

Approval confirms the slot; it doesn't charge anyone. If you want a deposit up front, connect Stripe and set a deposit on the room first.

Common questions

Does approving block the time immediately?

Yes. The slot is removed from the room's availability the moment you approve, on both the directory and your calendar.

Can I approve for a different time than requested?

Decline with a suggested alternative rather than editing the request. That way the practitioner confirms the new time explicitly and there's no ambiguity about what was agreed.

A request disappeared before I actioned it

Requests are withdrawn if the practitioner cancels the enquiry themselves. The record stays in your Bookings history marked as withdrawn.
