How-to guide

Create a manual booking

Add a booking yourself for a practitioner who contacted you directly, so your availability stays accurate everywhere.

Not every booking comes through the directory. When someone phones, emails or walks in, add the booking yourself so the slot stops being offered to anyone else.

Add the booking

From Calendar, click the slot you want — or go to Bookings and click Add booking. Pick the room, the date and time, and enter who it's for.

Why it matters

A manual booking does the same three things an approved request does:

  • removes the slot from the room's directory availability
  • shows in your week view
  • writes to your connected calendar, if you have one

Keeping direct bookings in WellnessRooms is what stops you double-booking a room you've already promised over the phone.

Recurring tenants

For a practitioner who takes the same slot every week, add the booking as a recurring series rather than one at a time. It keeps the diary accurate months ahead without you having to remember.

Manual bookings vs blocks

Both take a slot out of circulation, but they mean different things:

  • A manual booking records who has the room. Use it when a person has the space.
  • A block just records that the room is unavailable. Use it for maintenance, holidays or your own use.

Choosing the right one keeps your booking history meaningful when you look back at how the room is actually being used.
