Go from a brand-new account to a live, bookable room in about fifteen minutes — set up your workspace, add a location and a room, then publish to the directory.

WellnessRooms gives you two things at once: a place to manage your own schedule, and a listing on the WellnessRooms directory where practitioners looking for space can find you and send booking requests.

This guide walks the shortest path through both. Work through it in order — each step depends on the one before it.

Before you start

You'll need the address of the venue you're listing, your opening hours, and a few photos of the space. Photos matter more than anything else for getting enquiries, so it's worth gathering good ones before you begin.

Set up your workspace

Your workspace is the top-level container for everything: your locations, rooms, bookings and team.

  1. Create your account Head to the sign-up page and enter your business details. You'll start on the Free plan, which covers up to 5 bookings a month with trial access to the paid features — no card required.

  2. Name your business This is the name practitioners will see on your directory listing, so use the name people know you by rather than your registered company name.

  3. Invite your team (optional) If someone else handles the diary, add them now under Settings → Team. You can always do this later.

Add your first location

A location is a physical site — a building with an address. Rooms live inside locations, so you need at least one before you can list anything.

  1. Open Locations From the sidebar, go to Locations, then click Add location.

  2. Enter the address Use the full postal address. This drives where you appear in directory searches, so getting it right matters — practitioners search by town and travel distance.

  3. Set your opening hours These are the outer bounds of when the venue is accessible. Individual rooms can be more restrictive, but never more permissive.

  4. Set the time zone For UK venues this is Europe/London. Getting this wrong is the single most common cause of bookings landing an hour out.

Running more than one site?

Add them all now. Multi-location is included on the paid plan, and having every site set up before you start adding rooms saves you re-assigning them later.

Add a room

A room is what practitioners actually book. Each one gets its own page on the directory.

  1. Create the room From Rooms, click Add room and pick the location it belongs to.

  2. Choose a category The category determines which directory searches you appear in — therapy room, treatment room, studio space and so on. Pick the closest match.

  3. Add photos This is the highest-leverage thing you'll do. Listings with several clear, well-lit photos get substantially more enquiries than listings with one or none. Shoot in daylight, tidy the room first, and include a wide shot that shows the whole space.

  4. Describe the space Cover the practical things practitioners need to decide: floor area, what furniture is included, parking, access, and whether there's a waiting area.

  5. Set features and who it suits Tick the features the room genuinely has — wifi, natural light, disabled access — and the practitioner types it suits. Both are filters on the directory, so accuracy here directly affects who finds you.

  6. Set your rates and opening hours Room hours sit inside the location's hours. If the location is open 8am–8pm and this room is only free in the mornings, set the room to 8am–1pm.

Go live on the directory

Once the room has photos, a description and opening hours, switch on enquiries to publish it.

  1. Turn on enquiries On the room, set Accept enquiries to on. This is the switch that puts the room on the directory — until it's on, the room is invisible to everyone outside your workspace.

  2. Check the public page Open the room's directory listing and read it as a stranger would. Are the photos doing the space justice? Does the description answer the obvious questions?

  3. Send a test enquiry Use the enquiry form on your own listing to confirm the message reaches you and that the notification email arrives.

New listings take a few minutes to appear

Directory pages are cached, so a brand-new room can take a couple of minutes to show up in search results. If it hasn't appeared after ten minutes, check that Accept enquiries is on and the room has at least one photo.

Common questions

How long until I get my first enquiry?

It varies a lot by town and category. Listings in busy areas often see interest within the first week; quieter areas take longer. Photos and a complete description are the two things most within your control.

Can I list a room without taking online payments?

Yes. Payments are optional — plenty of hosts handle money directly with the practitioner and use WellnessRooms purely for enquiries and scheduling.

What if I need to take the room down temporarily?

Turn Accept enquiries off. The room stays in your workspace with all its details intact, but disappears from the directory until you switch it back on.
